Heart and Stroke, Niagara District Office
The role of the Administrative Assistant is to assist with several administrative responsibilities within the Niagara office while also providing program support to all Niagara office employees and donors.  
 
Reception / General Administration 
•Perform reception duties  
•Greet and attend to any donors / stakeholders that come in, in a friendly, professional manner  
•Complete data entry, data management and record keeping for programs & campaigns 
•Responsible for receipting and inputting on Niagara area programs and any donations received  
•Receive and distribute courier / bus / mail on a daily basis  
•Perform other duties as required by the Program Managers, Provincial Administrators and other staff 
•Answer calls to main switchboard, address inquiries or forward as needed  
 
Program Assistance 
•Assist with communications to potential and existing partners such as, preparing written correspondence, sending fax / e-mails, distributing newsletters, making confirmation and follow-up phone calls  
•Assist with preparation for promotional activities and materials, such as business / mall displays, promotion kits, Heart Month Kick-Off & Appreciation events  
•Ensure supply box for event day packed and ready to go  
•Print of Kintera sheets the morning of events for accurate and up to date donation totals  
•Train and oversee on-site volunteers for P2P / Big Bike and other Niagara office volunteers  
 
Events 
•Assist with relationship management, including attending events  
•Event registration and money management 
•Encourage enthusiastic participation and provide excellent customer service 
•Maintain complete and orderly records for all designated programs  
•Assist with calls to volunteers to confirm their return or recruitment of other volunteers  
•Prepare and send out physical and digital Thank you letters
